There are two methods of uploading files to use when you need an attachment for your notice or newsletter.

The first, which we refer to as the 'Editor Upload' method is accessed from inside your Notice Editor using the LINK icon on your editor toolbar.


To use this method you would follow these steps -

  1. In your editor window type the text you want to use as a hyperlink, for example 'Download the document'
  2. Highlight the text and from the 2nd row on the toolbar find the LINK icon and click it
  3. When the dialog open, choose the Upload tab
  4. Press the Choose File button to search and select your file
  5. Click the 'Send To Server' link to upload your file. This will return you to the link dialog with the URL filled with the link to your uploaded document.
  6. Press OK and you're done.


The other method is through your Files module. You will need to start by creating a File Folder in your library and then uploading your file in a similar fashion using the Add File button on your Files List page. Once you have the file uploaded you can use the link to the file in your Notice or Newsletter.


To do this use the INSERT EZC LINK (the red C icon on the Notice Editor toolbar), choose the file and the link is inserted immediately into your notice.


The 'Editor Upload' method is easier, and is the 'quick and dirty' answer to file attachments. It is appropriate for one-off files that are not likely to need to be used in other situations or need to be kept around for future reference.

There are four reasons for using the 'File Library' method versus the 'Editor Upload' method -

  1. Public Folders- If the files are uploaded to the file library, the folder they are in can be made PUBLIC. It is good practice for schools to have files that may need to be downloaded later in a public folder in their File Library.
  2. Shared Files - If you want to share files between schools you can do so now by using the File Library SHARE function. This will allow anyone else in the district to select the school interface and then link to a shared file. A good example of this is when you Middle Schools want to send letters to 5th grade parents in their feeder Elementaries. They can upload the file and SHARE it so the Elementary publishers can insert the link in their notices.
  3. File Lists - In a notice or newsletter, you can use the INSERT EZC FILE LIST and add links to all files in a selected folder in a single step.
  4. Versioning - With the file library you can replace a file with a new version, while maintaining the same link. This means if you need to edit a file or do an annual revision, you can replace it in the library and any links to that file (in archived or published notices, etc.) will open the new version.

The File Library is a way to manage files that you want to keep around, share with other publishers, or update over time.
